What needs to be done to onboard a new crew member?

An overview of all steps during the recruitment proces to create a candidate and turn them into a crew member.

To hire a new crew member, follow the candidate flow outlined below. Depending on your specific situation, some steps can be skipped. Each step includes links to detailed documentation for further guidance.

1. Gathering a lead


The recruitment process begins with creating a candidate lead. You can do this in two ways:

  • Via the API (link)

  • Via the Agency Suite you can create a candidate (link)

2. Calling the candidate


Once a candidate has been created, the next step is typically an introductory call. This can be done either from the call center or the office. The goal of this step is to schedule a date for a job interview.

3. Interviewing the candidate

The candidate will come to the office for an interview. At this stage, you can:

  • Reschedule (e.g., in case of a no-show)

  • Reject the candidate

  • Hire the candidate

If the candidate is hired, they will be onboarded as a crew member and gain access to the crew app.

4. Self service contract and documents by crew members

Once hired, the new crew member will receive an email with instructions on accessing the crew portal. Through the portal, they can:

  • Review their contract

  • Fill in the necessary personal information

  • Upload required documents

  • Sign the contract digitally

5. Reviewing the crew member documents

After the crew member uploads their documents, you'll need to review them. During this process, you'll check the accuracy of the provided information and the quality of the uploaded images. Once all documents are approved, the contract is finalized and the crew member is officially onboarded.

6. Follow up on pending contracts and documents

If there are delays during the process, you can track the status of pending documents or unsigned contracts. Manually following up with candidates may be necessary.
