How to hire or reject a recruitment lead?

Before we begin

We already briefly mentioned in the previous chapter that you can reject a recruitment lead in the [Update Application] section. Still, we want to elaborate on this a little further to keep the instructions complete, and the logic of the flow intact.

This article is written from a perspective of a end-user, which allows everyone to follow this article step-by-step, in order to succeed in their daily activities.

Now that you had the job interview with the recruitment lead, depending on the outcome, you either want to hire the recruitment lead or reject them.

In this last chapter of the recruitment module, the paragraph will be a little longer since we're covering multiple outcomes after after having an interview.

  • Log into the Agency Suite (https://agencysuite.briggsandwalker.com/)

  • Navigate on the top to [Recruitment] → [Candidate (Job interview)]

  • Press on [Search Candidate] button to generate your recruitment leads

  • Find the recruitment lead using the filters or scroll through the list on the left

  • Once selected, navigate to [Create Crew]

  • fill in the necessary and required fields, then press on [Save]

  • They will receive an e-mail with congratulations

  • They will receive an e-mail with instructions to start their onboarding


The longer detailed version - How to hire or reject a recruitment lead?

To hire a recruitment lead and to start their onboarding, we have to finalize their application within the Agency Suite.

After you've done that, the recruitment lead will receive two e-mails, one welcome message in where we congratulate them for getting hired, the other e-mail will be instructions for them on how they can start their onboarding by using the Crew App.

Log into the Agency Suite by going to: (https://agencysuite.briggsandwalker.com/)

Once when we're logged into the Agency Suite, we have to navigate to a different tab called [Create Crew] within the [Candidate (Job interview)] window. So go to the top-menu to Recruitment --> Candidate (Job interview). (View image below).

Either look for the recruitment lead through our search filters at the top or if you are a creature of habit, you can press [Search Candidate] immediately and look for the recruitment lead on the left-side of the window.

After you selected up the recruitment lead, you will notice an extra tab called [Create Crew], select it and you will see that you will be met with a couple of fields to fill in.

To assist you in finalizing it, we've created a table explaining what every field means and what you should take into consideration before pressing on [Save].

Fields in [Create Crew]

Detailed explanation

Crew code*

A unique code for the employee, when this was a recruitment lead through a website or Crew App, this code will be generated automatically. When this was a manually created recruitment lead, fill in a Crew code.

When having to create a Crew code, make sure to stay consistent in your naming methods, like for example Jeff Harrington will be JEHAR or JEHA, the choice is yours.

Personal identification number*

A validation field to check by their social security number if the person already exists within the Agency Suite

If they do, then it’s advised to contact your HR department so that they can reactivate them

Language of crew*

Select the language

Business unit*

Fully customizable for every Agency, select the department and/or job function

Brand Cluster*

Specify the field area in where the person is going to work, for example, NGO’s, Lotteries, Publishers

Sales Channel

In here we can specify the work fields, these channels, for example you can assign the new recruitment lead to D2D, STREET, EVENTS, INSTORE etc.

Manager*

In most situations, you need to select yourself here since you're most likely the manager.

Contract type*

Select the contract that you would like to give to the Recruitment lead.

After you filled in everything for the recruitment lead, you can press on [Save] and then you officially hired someone through the Agency Suite. Remember that they will receive two e-mails, one with a welcome message, the other one with instructions.

Now that we're done with the recruitment module, there will also be other outcomes in where the recruitment lead didn't show up or didn't meet the requirements. We will explain those situations below, before we can continue with the Onboarding module.


The recruitment lead didn’t show up

Sadly, there will be a possibility that they didn't show up for the job interview, and while we expect that you will try to contact them, we also want to prevent that you lose control in your administration, that's why it's highly recommended to log this.

To log this, and maybe send a new job interview proposal if you've reached them by phone, navigate to your to-do tab on the top-right corner and press on [Candidate (Job Interview)], then press on [Search Candidate] to generate your list again.

Select the recruitment lead that didn't show up for their job interview and navigate to the [Update Application] tab. In the section 'Job interview by office', you will see a 'No show reason', these reasons are adjustable to your wishes and needs.

Depending on the reason, select it and press on [Save]. If the recruitment lead still is interested but couldn't make it due to personal reasons, you can always send a new job interview e-mail by selecting a 'Date' and 'Time' before pressing on [Save].


The recruitment lead didn’t meet the requirements

There is also a possibility that you concluded that the recruitment lead isn't meeting the requirements to work for the company, maybe the lack of availability, skills or even something else that we didn't think of yet.

To keep your administration clean we also have a way to give them an 'end-result' in the Agency Suite. This way, you can keep a good overview and make sure that you will be able to focus on the things that matter to you.

To give a recruitment lead an 'end-result' in the Agency Suite, we must go back to your to-do tab on the right top corner and press on [Candidate (Job interview)].

Select the recruitment lead that didn't meet the requirements and navigate to the [Update Application] tab. Just like the 'No show reason' you will see a 'Reason rejected' in the 'Job interview by office' section.

Also this drop-down is customizable if desired, but in order to not make it too complicated for our end-users, we made a preset of rejection reasons. Also because some of these drop-downs in this section are linked with our Steam calling software.
